- Coordinate Opening Escrow
- Review purchase agreement, counter offers, all addendums.
- Ensure everything is fully executed with proper dates, initials, signatures, and the broker information is completed.
- Ensure seller disclosures are provided within contract timelines.
- Prepare all disclosures; including state specific and broker specific forms.
- Ensure your buyer is provided a copy of all reports and booklets that are provided and/or required.
- Upload all disclosures, documents, and reports into online transaction management service as they are received or fully executed throughout the transaction.
- Maintain constant contact with all parties involved for status updates as well as items outstanding.
- Ensure that escrow is in receipt of Home Warranty Invoice and Commission Instructions.
- Order any requested escrow amendments.
- Track the escrow time-frames for receipt of earnest money deposit, delivery and return of escrow packages, and delivery of HOA documents as applicable.
Listing Side per Transaction

- Open escrow, obtain file number and request the Escrow Instructions, Commission Instructions and Preliminaries.
- Contact all parties and introduce our role in the transaction as your Personal Closing Facilitator.
- Thoroughly review the Purchase Agreement, Counter Offers, and Amendments to ensure that each document is fully executed with proper dates, initials, signatures and broker information.
- Supply the executed Purchase Agreement to all parties involved in the transaction.
- Enter all of the contacts, appropriate dates and documents into the transaction management service software - we will then invite all parties involved.
- Order the Natural Hazard Report.
- Prepare a Full Disclosure Package including all of the required C.A.R., broker forms and documents - we will then deliver these via mail, email or DocuSign directly to you and/or your seller.
- Provide a completed Seller Disclosure Package and deliver to the buyer's agent and monitor a timely return, as well as ensure that all contract time-lines are adhered to.
- Send copies of the termite and any other reports to buyer's agent and to escrow.
- Order any requested escrow amendments.
- Upload all documents, disclosures and reports into the transaction management service software as each one is received or fully executed throughout the transaction process.
- Ensure that escrow has received all documents including the termite report, zone report, home warranty invoices, commission instructions and any other required documents.
- Track escrow time-frames for receipt of earnest money deposit, delivery and return of escrow packages, and delivery of HOA documents as applicable.
- Make sure that all disclosures and reports have been provided and ensure that all signatures, initials and dates have been completed.
- Maintain weekly contact with all parties involved for status updates as well as items needing attention or that are outstanding.
- Fully complete and deliver the completed digital paper file (PDF) to you or your broker.
Dual Agency Transaction

- For agents representing both Buyer and Seller in a single transaction, we will coordinate both sides throughout the transaction, per our services. We will immediately prepare and send the complete Seller’s Disclosure Package directly to the Seller for signatures, tracking all activities with all the players in the transaction in a timely manner, through the close of escrow. A completed file will be submitted to your broker at close of escrow.
